Troubleshooting a source that failed to sync

On the Sources page, a healthy source shows a green Active status. If a sync fails instead, the Status column will flag it — here's how to fix the most common causes, by source type.

Website URL / Sitemap sources

  • Check the URL is public. Caro fetches the page the same way a visitor's browser would — if the page requires a login, is password-protected, or blocks crawlers, the sync will fail.
  • Check the URL is correct and reachable — a typo, a page that's since been moved/deleted (404), or a domain that's down will all fail the same way.
  • For a Sitemap source, confirm the sitemap URL itself is valid (usually /sitemap.xml) and that it lists real page URLs.

Document / CSV uploads

  • Confirm the file is actually a supported format (PDF, DOCX, or TXT for Documents; CSV/spreadsheet formats for the CSV source type).
  • Very large files or scanned image-only PDFs (no selectable text) may fail to extract usable content — try exporting as a text-based PDF or DOCX instead.

YouTube video

  • The video must have captions/a transcript available (auto-generated captions work) — Caro indexes the transcript, not the video itself. A video with captions disabled can't be indexed.

Google Drive (Growth plan and up)

  • Make sure the file is shared with the correct permissions so Caro's connection can access it, and that you're on a plan that supports this source type — the card shows "Requires Growth plan and up" if it's unavailable on your current plan.

If a source keeps failing

Use the Actions menu → Sync now to retry after fixing the underlying issue. If it still fails, delete the source and re-add it — see Editing and removing sources. If nothing here explains the failure, see Getting help when something's wrong.
