If your knowledge is in documents — PDFs, Word files, text files — you can upload them directly as sources.
Uploading a document
Go to your agent → Knowledge tab → Add Source → Document.
Click the file upload area or drag your file in. Supported formats:
- PDF — the most common format for documentation and guides
- DOCX — Microsoft Word documents
- TXT — plain text files
Maximum file size: 20MB per file.
Give the source a name (optional — defaults to the filename), then click Add Source.
The document goes through the same indexing process as any other source — it takes a minute or two, then shows "Indexed" when ready.
What gets indexed
Vosaire reads the text content of your document. A few things to keep in mind:
- Text-based PDFs index well. Scanned PDFs (where the content is an image) don't — the text can't be extracted.
- Tables in Word documents are usually indexed but may not format perfectly.
- Headers and structure help the agent find relevant sections faster. A well-structured document is worth more than the same content in a wall of text.
- Images, diagrams, and charts inside documents are not indexed — only the surrounding text.
Updating a document
Currently you can't replace a document source with a new file — the name is editable, but the file itself isn't. If your document content has changed, delete the old source and upload the new file.
To delete a source, find it in the Knowledge tab, click the actions menu (three dots), and select Delete.
Tips
- If you have a large PDF operations manual, consider splitting it into smaller topic-specific files. Smaller, focused documents tend to give more accurate answers than one large general-purpose document.
- Name your sources clearly — "Refund Policy v2.pdf" is more useful than "doc-final-FINAL.pdf" when you're scanning the source list later.
- For documentation that changes regularly, consider using a Notion or Google Drive integration instead — those can sync automatically when content is updated.
